Job Title: Administration Assistant

Job Summary

Polyformes Ltd are looking to recruit a positive and enthusiastic Office Administration Assistant to join their very busy Sales Office in Leighton Buzzard. Working within a demanding office, the position involves taking responsibility for the smooth running of the front of house and the administrative services side of the office. This includes assisting other members of staff where necessary and being the first point of contact for telephone calls and visitors on site.

Duties include:

• Answering the telephone in a professional and polite manner
• Fielding phone calls to the relevant person and taking and forwarding messages
• Meeting visitors to the office and offering them refreshments prior to their appointments
• Filing of quotations, orders and invoices.
• Data inputting to Customer Management System
• Dealing with queries
• Post sorting and post packing

Ongoing training will provide for:

• Order input
• Raising quotations
• Invoicing
• Providing samples and brochures
• Assisting customers with product and process enquiries

Candidate Requirements:

• A confident and focused individual with excellent interpersonal skills.
• Well presented and polite
• A professional approach, prioritization management, use of own initiative and excellent self organization
• Basic computer skills, preferably in Outlook, Excel and Word
• Maths capability and a good command of the English language
